JOB DESCRIPTION
Designation: Purchasing Assistant
Role: The Purchasing Assistant supports the purchasing, inventory management, and logistics functions of the company by assisting in the procurement of products, monitoring stock levels, coordinating deliveries, and ensuring accurate record-keeping. This role works closely with suppliers, the warehouse team, and internal departments to ensure the timely and efficient flow of goods.
PRIMARY DUTIES:
- Assist in issuing purchase orders, verifying pricing, processing payments, and maintaining accurate entries in ERP systems.
- Communicate with suppliers to confirm order details and ensure timely delivery of goods.
- Coordinate with the supplier, customs broker, and warehouse to ensure new products are accurately set up in ERP systems.
- Verify the configurations and dimensions of new products upon arrival at the warehouse, ensuring accuracy in inventory records and cost calculations.
- Collaborate with Sales and Marketing teams to manage stock levels effectively and prevent overstocking or understocking.
- Update and maintain product information in the inventory database, perform daily inventory checks.
- Assist in inventory cycle counts, spot checks, and month-end reconciliation; investigate discrepancies and support adjustments.
- Monitor product best-before dates and generate monthly aging reports; inform relevant teams of expiring or excess stock.
- Provide administrative support for warehouse documentation, stock transfers, and inventory inquiries.
- Assist in coordinating freight bookings and deliveries with local service providers, optimizing loads to reduce costs.
- Track shipment statuses, ensuring suppliers, shipping lines, and customs brokers release cargo on time.
- Verify transit times align with delivery schedules; coordinate urgent or time-sensitive shipments when required.
- Communicate with customs brokers to ensure accurate documentation, timely customs clearance, and resolution of shipment issues.
- Perform other ad hoc duties as requested by the supervisor.
Skills and Qualifications:
- Attention to detail and accuracy in data entry
- Good communication and interpersonal skills
- Proficiency in Microsoft Office Suite and ERP systems is an asset
- Ability to work independently and as part of a team
- Mandarin language skill is an asset
